In Workday, students update their own personal and contact information. Use this guide when entering/updating different addresses and learn how each is recognized (usage) in Workday.
Students will see two categories of Contact Information in Workday: Institutional (assigned by WashU, such as the university email address or a residence hall room/mail stop code address) and Home (not assigned by WashU).
Home Contact Information
Addresses
Under Home Contact Information, the Addresses section will initially populate with the address listed on the application for admission. Students will add other addresses to this Home category as they become relevant.
Addresses may be assigned a “usage” to provide additional context. The first address populated as Home does not list a usage, and is understood to be where the student resides during breaks in the academic calendar.
Primary Address
When only one address is listed under the Home category, such as upon initial record creation in Workday, as a default the Primary checkbox is automatically selected. WashU will use the Primary address for any mailed communications, so if a student wishes to receive mailed communications at a different address, they should select the Primary checkbox for that address.
Usage
Students should assign a “usage” to any additional addresses. Students may also add multiple usages to a single address as needed. The available usages are:
Student Local Address – where a student resides, if not a WashU residence hall, while at school. Students living in the St. Louis region and commuting to campus or attending online classes should add this usage to their primary Home address.
Permanent Address – a student’s typical residential address during vacation and break periods.
Diploma Mailing Address – non-P.O. Box address to which the diploma will be shipped upon completion. If this is the Home address, students should assign this usage to that already-saved address.
Other – Home – where a student may reside while not at school or the main Home address, such as a non-custodial parent or seasonal address.
Study Away Address – where a student resides if participating in an academic experience such as study abroad or internship, co-op or research outside the St. Louis region.
Maintaining Contact Information
All students, including online and offsite students, are responsible and required to maintain and ensure accuracy of personal and contact information in Workday. Offsite students are those who do not live in university-managed residence halls or apartments. This information needs to be on the student profile in Workday. If you have a job at WashU, remember to switch to your student profile. The following information is required:
Please provide the residential address where you will be living while taking classes. You must specify one of the following usage types: “Student Local Address” or “Study Away Address.”
- Select a usage type of “Student Local Address” if you will NOT be on a study away experience.
- If you live in a university-managed residence hall or apartment, your local address will be automatically entered as your institutional address, and you will not need to enter a local address.
- Select a usage type of “Study Away Address” if you ARE participating in an academic experience outside of the St. Louis region in the upcoming semester (e.g., study abroad, internship/practicum, research).
- Make sure you enter the address once you know where you will be living.
- Be sure to keep an address with the usage type of “Student Local Address” until you begin your study away experience.
- An address with the usage type of “Permanent”
- This is your typical residential address during vacation and break periods.
- This may be an address you’ve already entered, as addresses in Workday may have multiple usage types, especially if your permanent residence is where you study.
- A phone number with phone type of “Mobile”
- Someone listed under Friends and Family with a relationship type of “Emergency Contact.” Please note that a person can have multiple relationship type values (e.g., Parent and Emergency Contact).

You will receive tasks in Workday to complete every fall and spring semester while attending WashU, including reviewing and updating your contact information.
